This policy explains what the Ekam app and getekam.in collect, why, who can see it, how long it is kept and how you can ask us about it. It covers business owners and their staff, and the customers, suppliers and drivers whose details a business keeps in Ekam.
Who we are
Ekam is made by Beyondsy Solutions LLP, a limited liability partnership registered in India (LLPIN AAX-0438), with its registered office at 311, Shangrila Arcade, 100 Feet Anand Nagar Rd, Shyamal, Ahmedabad, Gujarat 380015, India. In this policy, "we" and "us" mean Beyondsy Solutions LLP.

Two roles: your account and your business's records
Under the Digital Personal Data Protection Act, 2023, the one who decides why personal data is used is the Data Fiduciary, and the one who handles it on their behalf is the Data Processor.
- Your account (owners and staff): we decide how your sign-in and profile are used, so for this data we are the Data Fiduciary.
- The records a business keeps (its customers, suppliers, drivers, bills, payments and stock): the business decides what to record and why, so the business is the Data Fiduciary and we are its Data Processor. We use these records only to run Ekam for that business.
If a business keeps your details in Ekam and you want them changed or removed, ask that business first. If you cannot reach it, write to us and we will help.
What we collect
| What | From whom | Why |
|---|---|---|
| Name, email address and profile photo from your Google account | Owners and staff when they sign in | To sign you in and to show who did what |
| Your mobile number, if you add or confirm it | Owners, staff and customers | To match the bills that businesses send you, and for invites |
| A random id the app makes for your phone, and its push token | Everyone who uses the app | To keep you signed in, to sign out a lost phone, and to send alerts |
| Business name, address, GSTIN, UPI ID and settings | Owners | To print bills and the UPI QR on them |
| Names, mobile numbers, addresses, GSTINs and map pins of customers and suppliers | Entered by a business | For orders, bills, deliveries and reminders |
| Products, prices, stock, production, orders, bills, payments, deliveries, plans and jars | Entered by a business and its staff | These are the business's books |
| Photos of payments (screenshots or receipts) | Staff and customers who choose to add one | So the business can check a payment |
| Location of a delivery address or a driver at a stop | Pasted links, or a person's tap (see Location) | To find the address and sort the day's stops |
| A record of every change to money records: who, what and when | Made by the app as people use it | To keep the books honest |
| Technical logs: the time, which screen or action was asked for, whether it worked, and errors. No IP address, no message contents | Every request to our servers | To keep the service working and to fix errors |
We do not collect your contacts, SMS or call logs. Your PIN and your fingerprint never leave your phone: the PIN is checked on the phone, and the fingerprint is checked by Android, which only tells Ekam yes or no.
Owners and staff
You sign in with Google. Google tells us your name, email address, profile photo and a Google account id; we never see your Google password.
When an owner invites you, the invite carries the mobile number or email the owner typed. Your role decides what you can see and do in that business; the owner can change your role or remove you.
The records a business keeps
A business uses Ekam to keep its customers, suppliers, products, stock, production, orders, bills, payments, deliveries, regular delivery plans and jars. Only the people in that business can see them, and each person sees only what their role allows. Each business is kept apart from every other business, including other businesses of the same owner.
A business is responsible for having a lawful reason to keep its customers' and suppliers' details, as it would in a paper register.
Customers who open a link
A business can send you a link to a bill or to your page with them, usually on WhatsApp. The secret part of the link sits after a # sign, which your browser does not send to any server by itself; the page reads it and sends it to us to open your bill.
The first time you open a link we may ask you to confirm your mobile number, so that only you see your bills. We record that the link was opened, which the business can see. The page keeps one random key in your browser's storage so it knows it is the same phone next time. It sets no cookies and has no ads or trackers.
If you tap "I've paid", ask for an order, or skip a delivery, that goes to the business with any screenshot you add.
Location
- A delivery address gets a map pin from a Google Maps or WhatsApp location link that someone pastes, or when a person taps "Use my current location".
- On a driver's phone, Ekam reads the location while the app is open, to sort the day's stops nearest first. It is saved only when the driver taps "Save this location" at a door.
- Ekam does not read your location in the background, and does not keep a trail of where anyone has been.
Android asks you before Ekam can use location, and you can turn it off in the phone's settings. Without it, you can still paste locations.
Photos
Ekam opens the camera or your gallery only when you choose to add a payment photo. The photo is stored with that payment and seen by the business and, if you sent it, by you.
Notifications
Alerts such as "a payment is waiting to be checked" are delivered through Google's Firebase Cloud Messaging, which receives your phone's push token and the alert's text. You can turn notifications off in the phone's settings.
Why we use it
- To run Ekam: sign-in, the business's books, links, alerts and support.
- To keep it secure: stopping misuse, signing out lost phones, fixing errors.
- To meet the law, for example keeping tax records for as long as GST law requires.
We do not sell personal data, show ads, or build profiles of people for marketing.
Who else sees it
- People in the same business, as their roles allow.
- A business's customers, when the business shares a bill or page with them.
- Google, for sign-in and for delivering notifications.
- Hostinger, which runs the server that holds the data and files for us.
- Authorities, when Indian law requires it.
When you share a bill or a reminder on WhatsApp, you send it from your own WhatsApp, and WhatsApp's own policy applies to that message.
Where it is stored
Data, files such as payment photos, and backups are stored on a server we rent from Hostinger, located in Mumbai, India. To stop repeated sign-in attempts, the address of the connecting network (IP) is held for one minute and then dropped; it is not written to logs. Data on your phone is kept in the app's private storage; sign-in details are kept in Android's secure storage.
How long we keep it
- Your account: while you use Ekam. After you ask us to delete it, we remove your sign-in and profile within 30 days.
- A business's books (bills, payments, stock, and the details on them): while the business uses Ekam, and after it stops, for as long as GST law requires, which is at least 72 months after the due date of the annual return for that year. Bills and payments are never deleted, only cancelled with a reason, so the books stay complete.
- Payment photos: with the payment they belong to.
- Technical logs: 30 days.
- Backups: a daily copy of the database is kept for 30 days, then deleted.
See Delete your account for what is removed and what stays.
Your rights
Under the Digital Personal Data Protection Act, 2023 you can ask us for a summary of your personal data and who it has been shared with, to correct or complete it, to erase it, and to name someone to act for you if you cannot. You can withdraw consent at any time; this does not undo what was lawfully done before.
Write to support@getekam.in from the email you sign in with. We reply within 30 days. For records a business keeps about you, see Two roles.
If you are not satisfied with our answer, you can complain to our grievance officer (below) and then to the Data Protection Board of India.
Children
Ekam is a business tool for people aged 18 or over. We do not knowingly collect data from children. If you think a child's data is in Ekam, write to us and we will remove it.
How we keep it safe
All traffic is encrypted (HTTPS). The app locks with your fingerprint or PIN, roles limit what each person sees, every business is kept apart, and every change to money records is logged. No system is perfectly secure; if a breach affects your data, we will tell you and the Data Protection Board as the law requires.
Changes to this policy
When this policy changes, we update the date at the top and list the change at the bottom of this page. If a change matters for how your data is used, we tell you by email or in the app before it applies.
